The trend for bringing fax into your existing Voice over IP infrastructure – shared services – is set to continue, as ever more canny ways to cut costs are sought.

Organisations like the NHS are realising that being able to remove stand-alone fax machines and their associated outlay from offices, clinics and consulting rooms, will save them a substantial amount of money. Additionally, access to improved technologies will ultimately help improve patient care and better meet clinical needs.

Taking fax into the IP environment will require the installation of fax server software on the network, so that fax communications can ‘talk’ to the incumbent VoIP infrastructure, but once this is in place, faxing will be a paper-free, instant, desk-top function which also supports all MFP/MFD devices.

OpenText RightFax compliments Cisco IP systems

FoIP is a great opportunity for our Cisco Resellers to create incremental revenue streams by introducing RightFax technology to their customer base. And ProcessFlows is offering their Cisco reseller partners a substantial discount on RightFax up until the end of 2011.

Note: RightFax for Cisco is a straight OEM of RightFax.

FoIP is a simple measure which delivers large savings

Companies will no longer need to pay for fax line rental, the procurement and servicing costs of fax machines and consumables such as paper toner etc.

Add in the time saved as staff will no longer have to trek to the fax machine to send a fax, hang about while it transmits or grapples with connection problems and wait for a delivery notification or non-deliverable report; and the potential savings may be met with gasps of disbelief that they have been spending ‘that much’ on faxing.

Free and easy faxing for everyone

Sending a fax will be an easy, click-of-a-button function. Any electronic document, such as an invoice, PO, form etc or a scanned paper document can be faxed from within familiar line of business systems and ‘transmitted’ over the VoIP infrastructure already paid for.

Tim Muckart, ProcessFlows Business Development Manager

The days of fax machines are numbered… but fax lives on!

The shift from traditional telephone systems to Voice over IP (VoIP) has enabled fax to move from integrating with traditional telephony, to IP integration with a company’s Voice over IP network.

This has meant that rolling out desktop fax within a company is incredibly easy to achieve, as there is no reliance on traditional telephone lines and numbering. Networked Fax has become the norm, so companies are now seeing fax communication going from fax server to fax server, with no fax machines in the way!

This has stimulated the market for new systems and the upgrading of existing systems. Companies see the benefits of having a real option to email, a way of sending documents that they know will not get caught up in a spam filter, or be too large for an email account to handle, but still end up on the recipient’s desktop quickly and securely.

There is now a wide range of Multi-Function Devices available which integrate directly with fax management systems, so the need for a fax machine is no longer valid. Fax has evolved; it is secure, compliant and instant.

Do you still have fax machines? Why would you?!

If you would like any further information on fax solutions, please contact us on 01962 835053 or email enquiries@processflows.co.uk.

… And you do not need to convert IP voice calls into old style analogue calls to do this!

Paul Bamberger, Technical Consultant at ProcessFlows recounts a recent conversation he had on the train with a senior telecoms consultant who worked for a major UK telecommunications company.

For many reasons, which I won’t bother you with, I travel a lot by train and one of the things I have a bad habit of doing is chatting to whoever is unlucky enough to be sitting next to or opposite me. Firstly, if you are someone who I have spoken too, please accept my apologies if all you actually wanted to do was read your novel, catch up with the newspaper or enjoy your latest iTunes download.

I genuinely find snapshots of peoples’ lives from these brief conversations can be quite fascinating. For me, some of the most interesting conversations are around the work that people do and especially their experience of technologies and the associated struggles that they have in their work. When I tell them that I am involved in Document Management and RightFax technologies, many have stories of how inefficient their businesses are – it’s almost tempting to hand over a business card – but there is a silent etiquette for these conversations that usually precludes it.

Sometimes I am able to suggest ideas to them that they would have dismissed. On a recent journey out of London on a packed commuter train, stood in the vestibule, I chatted to a senior telecoms consultant who worked for a major UK telecommunications company. When he discovered that I worked with fax he was quite dismissive of the technology, not because he felt it was irrelevant – he recognised that there are large business sectors where it is still a key means of communication – but because fax is unable to integrate into modern IP telephone technologies.

The problem, he explained, was that fax machines and fax servers needed IP voice calls to be converted back into an old style analogue calls – he informed me that when he discussed this with the technology experts in the business and they had confirmed it. I know they are not on their own on this – it seems to be widely accepted by the telecoms industry that fax does not integrate into modern IP infrastructures.

What I was able to explain to him was that his knowledge was out of date! He seemed genuinely surprised to discover that we can connect our Fax Servers via IP (Fax over IP) to either the IP telephone systems (including makes such as Cisco, Avaya and Nortel) or directly to IP trunks provided by the telecommunications company. Many businesses who move to VoIP systems have to put in analogue fax lines or converters to support fax machines and multi-function printers – I explained how we could remove this need.

Then he got off the train.

Left with me in the vestibule area were a mother and daughter, who had spent the last half hour dissecting a burger & fries and a man in uncomfortable looking bicycle shorts, holding his bike up at an odd angle so people could walk by. They didn’t seem that interested in Fax over IP … but maybe a conversation on healthy eating?

If you’d like to talk about how we can help integrate your fax into your VoIP environment, just email with your regular train routes, times and where you sit.

While people wait for fax technology to fade away, fax machines still sit there, guzzling electricity, attracting dust and spitting out shiny expensive paper.

People still hop up and down from their seats, wearing out the carpet and you still see people sticking rulers under cupboards trying to persuade an escapist document to come out from behind the cables.

As long term fax technology distributors, we know better than most that ‘Email communications’ has been a contender for a decade. But perhaps it’s because it doesn’t give that same peace of mind, doesn’t give that ‘instant assurance’ that their document was sent and received that email hasn’t displaced the trusty fax machine?

Perhaps it’s because Fax is still the most reliable point-to-point communication there is?

Hasn’t everyone got a fax server?

Ironically, a lot of people we talk to are still letting their users fax manually. They tell us they thought fax was on the wane and soldiered on with what they had. We could see their point, with old fax server technology, installed on Tin (servers), it wasn’t easy to ‘plug and play’, particularly if there were multiple sites.

Meanwhile everything has moved on.

We live in a virtual world, and now, so does fax. In fact, fax compliments a VOIP strategy so well; people are tying it in to their VOIP business case.

Going electronic, reducing paper and ink carbon footprints by going electronic are the simple ‘quick wins’, but the ability to automate the ongoing process is where the ‘big wins‘ come.

Miss out the human, and send documents from applications automatically

All fax documents arrive pre-scanned – we can automate the posting of data

How Does Fax Over IP change things?

We’ve set out the Fax over IP business case here, but essentially it integrates into IP networks, and by breaking the data in a fax transmission into data packets and sending them digitally to where they need to go.

Fax over IP Server Software provides a virtual fax server and can centrally host faxing for multiple locations. Inbound and outbound faxing becomes a desktop function with fax to email capability.
